Organising meetings without the organising becoming a meeting
Invitation, video link, minutes, attendance and booked time: plan a meeting once, and the rest follows.
A good meeting starts before the appointment and doesn't end when everyone hangs up. Invitations, agenda, video link, minutes, attendance, follow-up tasks: in Resourcecloud all of it lives in one place. You plan a meeting once, and the rest follows.
Invite and find a suitable time
In the meeting planner the availability chart opens by itself. You page through time slots instead of typing a start and end, and see when everyone is free. Single meetings and series with a fixed agenda are possible. You can reschedule or cancel a single occurrence of a series without touching the rest.
Invitees accept or decline. Guests without an account reply through a personal link. Five minutes before the start, Resourcecloud sends a reminder with a Join button.
Video link included
Jitsi is built in, and a link is created automatically when you create the meeting. Zoom, Webex, Google Meet and Microsoft Teams can be connected: the link moves along when you reschedule, and attendance can be read back after the meeting. If you like, meetings also land in the Outlook calendar.
Minutes everyone writes together
Instead of an email with notes there are shared minutes: everyone enters topics, notes and next steps into one table. With one click a row becomes a task, so decisions don't get lost in the minutes. The organiser closes the minutes, the participants approve, and from then on they're read-only.
Time and capacity add up by themselves
Every participant gets a task, so a meeting consumes capacity like any other work and feeds into the plan. A series can close every occurrence and book the planned minutes for everyone, so the timesheet includes the meeting. In reports you see the share of meetings in working time, with a warning when it gets too high. In the meeting itself the cost is shown (from four attendees).
When someone drops out
Anyone who is sick at home or on vacation no longer leaves the others waiting: upcoming meetings are cancelled automatically, with the reason in the comments. If the person organises it themselves, it stays and the group is informed.
